02The project story
The thinking, delivery and outcome
Geotab’s Mobility Connect brought more than 400 international delegates, partners and exhibitors to Milan. What began as a conference-production brief expanded into a complete three-venue programme spanning venue sourcing, accommodation, transfers, plenary production, a partner exhibition, VIP and meeting environments, content, hospitality and an evening experience.
The visible event lasted two days. Behind it sat approximately three months of tightly connected decisions and a physical build compressed into a single day.
Three venues, local and UK crews, individual partner requirements, guest data, hotel bookings, dietary needs, transport, power, content and a substantial display system all had to move as one. Treating each element as a separate supplier package would have created hand-offs, conflicting sequences and greater risk to opening readiness.
Hub9 therefore designed the guest journey and the supplier programme as the same system. One master programme linked venues, procurement, travel, accommodation, creative, fabrication, AV, content, exhibition delivery, hospitality, health and safety, and live production.
Dedicated owners led the plenary, partner exhibition, guest logistics, hospitality and technical workstreams, with central communication and risk oversight keeping every decision connected. Venue visits and pre-planning resolved access, power, catering and transport constraints before the compressed build day.
Hub9 built and technically supported every partner stand, coordinated graphics, wayfinding and venue branding, and delivered a very wide LED canvas through a specialist media-server workflow. Full show calling, speaker and content coordination, meeting rooms and a VIP lounge created a consistent daytime experience.
The programme continued at a historic Milan property Villa Necchi Campiglio used in the filming of House of Gucci. Lighting, tours, reception, entertainment and live visual capture transformed the evening into a memorable shared experience while remaining part of the same joined-up delegate journey.
More than 50 delivery personnel, 400-plus LED panels, over 100 audience touchpoints, partner stands and guest operations converged inside a one-day build. Mobility Connect opened on schedule with one consistent standard across conference, exhibition, hospitality and logistics.
Geotab gained one accountable partner able to take a complex international event from the first venue search to final dismantle – absorbing the interdependent decisions behind the scenes so the client and audience could focus on the experience.
