02The project story

Behind the experience

The thinking, delivery and outcome

Consistency without sameness.

Impact XM appointed Hub9 to provide technical continuity for a long-running European congress programme for its client, GSK. Across EHA, ESMO and other international events, every stand, venue and creative treatment changed – but the expectation of a confident, precise visitor experience did not.

The challenge was therefore bigger than supplying AV equipment. Impact XM needed a delivery partner that could understand each agency’s creative intent, translate it into a dependable technical system and protect the experience across changing countries, venues and schedules.

The real product was confidence.

Hub9 built a repeatable partnership model around early technical interrogation and workshop pre-testing. Content, hardware, control, rigging, specialist displays and interaction were tested together before arriving on site, reducing uncertainty at the point where time and access were most constrained.

That retained knowledge compounded from congress to congress. Our team understood the programme, the approval routes and the quality expected by Impact XM and GSK, while still adapting every delivery to the architecture and purpose of the individual stand.

A repeatable model, adapted every time.

For each event, Hub9 coordinated with Impact XM, creative partners and content producers to identify technical dependencies early. We advised on display formats, lighting, rigging and interactive technology, then pre-built and tested the system before coordinating installation, commissioning and live support on site.

When venue conditions or third-party content created an unexpected gap, the team focused on solving it. That ability to work calmly across agency boundaries became as valuable as the equipment itself.

Technology with a job to do.

The programme used transparent OLED, LED, specialist lighting, touch-sensitive spherical displays and interactive measurement systems. Technology was selected to make scientific and product stories more intuitive – not as novelty for its own sake.

Some stands incorporated up to 12 – 15 recalled sensors, requiring careful coordination between physical construction, content logic and control. Lightweight, quick-install graphic and lighting solutions also reduced transport capacity, crew demand and installation time while remaining robust enough for repeated international use.

A partnership that compounds.

More than a decade of repeat appointments demonstrates the value of the model. Impact XM gained a trusted technical team able to enter complex multi-agency environments, retain programme knowledge and deliver a consistent standard without making every congress look or feel the same.

The result was a European programme in which creative ambition and technical certainty could move together – giving Impact XM and its client the confidence to focus on their audiences while Hub9 managed the detail behind the experience.
